TRUST ADMINISTRATION LEGAL ASSISTANT/PARALEGAL
What You’ll Do
You will support the attorney with trust administration, and be the friendly, calming voice clients interact with. Responsibilities include:
- Drafting trust administration documents under supervision
- Handling deed work (quitclaim deeds, county recorder/assessor filings)
- Preparing and sending post-death administration documents
- Assembling estate planning documents and binders for signing meetings; scanning and filing documents
- Serving as first contact for clients: answering phones, welcoming drop-ins, listening to their issues, smoothing out concerns
- Scheduling signings, follow-ups, and meetings with the attorney
- Closing out files and preparing all letters, affidavits, certifications, notices, IRS and Assessor docs, etc.
Who You Are (Skills & Personality)
We’re looking for someone with:
- A warm, professional manner — you enjoy talking to people, are empathetic, good at listening, and can put potential clients at ease
- Excellent phone skills: clear voice, good tone, persuasive when needed (for example, helping clients see the value in a $500 initial consultation)
- Strong communication (verbal & written), grammar, and proofreading skills
- Highly organized, detail-oriented, good at juggling tasks and deadlines
- Reliable, professional, able to handle confidential information with discretion
- Flexible and adaptable; comfortable under pressure or with changing priorities
- Tech-savvy: experience with AI, Google Office suite and tools; Microsoft Office; legal document tools; scanning, formatting, preparing legal paperwork
Experience & Education
- Associate’s degree or higher
- Two Years + Prior experience in estate planning, trusts & estates, elder law, or similar fields is a must
- Very important: the soft skills — strong interpersonal, phone, and client communication — are essential
Compensation
- Legal Assistant: $25–$35/hr
- Paralegal with experience: up to $50/hr + bonuses
