This position provides high-level executive and administrative support to a law firm Partner, Attorneys, Legal Assistants, and the Legislative Team. The role operates in a fast-paced, high-volume environment requiring exceptional judgment, discretion, and the ability to work independently with minimal direction. This is a highly dynamic position that functions as both an Executive Assistant and a Personal Assistant, including significant responsibility for managing both professional and personal priorities.
RESPONSIBILITIES
• Serve as the primary point of contact for the Partner, managing all communications, scheduling requests,
and personal matters in a fast-paced, high-volume environment
• Act as gatekeeper and triage point for incoming communications, prioritizing and filtering requests with
minimal supervision
• Provide high-level executive and personal assistant support across professional and personal priorities
• Manage complex calendars using Microsoft Outlook, including scheduling meetings, conference calls,
legislative appointments, travel, and other time-sensitive engagements
• Coordinate political receptions, legislative events, and stakeholder meetings, including vendor
management, invitations, guest lists, materials, and on-site support
• Prepare event and briefing materials such as sponsorship documentation, donor histories, agendas, and
presentations
• Maintain working knowledge of Texas Ethics Commission (TEC) regulations and support compliance
reporting, including:
• Monthly and annual lobby reports
• Tracking lobbyist expenses, legislative meetings, and events
• Client entry and filing within TEC systems
• Capitol-related logistics, including delivery of materials and support items
• Draft and prepare professional correspondence, including political contribution letters and internal
communications
• Provide advanced administrative and technical support, including: Word processing, PowerPoint
presentations, and Excel reports. E-filing preparation and legal support documents. Billing documents,
expense reports, and billable time/mileage entry
• Maintain CLE records and related administrative accounts
• Handle restaurant reservations, including large group or private dining arrangements
• Assist with personal and other requests as assigned.
JOB QUALIFICATIONS
• Strong written communication and professional drafting skills
• High level of executive support experience with strong calendaring and scheduling skills
• Ability to work independently with limited supervision
• Ability to work in environments that may be sensitive to political affiliations
• Flexibility to work extended hours as needed based on workload and deadlines
• Ability to multitask efficiently in a high-volume, fast-paced environment
• Excellent calendaring skills, including scheduling meetings, managing complex calendars, and
coordinating appointments (Outlook)
• Experience arranging travel, reservations, and related logistics
• Professional attitude, discretion, and appearance
• Excellent organizational skills with a strong emphasis on accuracy and attention to detail
• Strong time management skills with the ability to prioritize competing demands under pressure
• Superb proficiency in Microsoft (Word, PowerPoint, and Excel) including drafting and editing documents
**Standard schedule is Monday through Friday, with occasional extended hours based on workload and
legislative demands
