- Paralegal needed for busy and growing Estate Planning law firm
Responsibilities and Duties
- Draft Estate Planning Answer Files and legal documents for Estate Planning Cases
- Notary for estate document and court signings
- Draft letters and general administrative duties
- Receive documents, scan documents and maintain organized electronic & manual filing of documents
- Professional and friendly communication with clients by phone, email and in person; follow-up on needed details; discern when documents can be shared due to confidentiality and email needed documents to clients
- Excellence in client service required
- Receive phone calls, field questions and schedule clients for appointments
- Prepare trust and estate client books of original documents and go over the book with clients at pick-up
- Car available to go to Courthouse for filings; recording deeds, post office runs and general errands with excellent driving history and personal insurance; each night drafts will be taken downtown before the last pick-up
- Prioritize workload and efficiently manage tasks by deadlines
- Maintain a clean and welcoming office space including light office cleaning
- We use CLIO; Microsoft products; Google calendar, Wealth Counsel and Adobe-must be proficient in computer skills, typing and able to learn how to use these products
Qualifications and Skills
- Paralegal certificate and/or Bachelor’s Degree preferred
- At least one year prior experience working as a legal assistant or paralegal in a law firm preferred but we will consider training without experience for the right candidate that demonstrates excellence in the other necessary required administrative skills.
- NOTARY-REQUIRED: Must be able to meet state requirements for notary and pass the newly required notary exam: To be commissioned by the Secretary of State, the following requirements must be met, per Arizona Revised Statute § 41-312(E): Be an Arizona resident; Be at least 18 years of age; Be able to read and write English; Not have a conviction for a felony unless civil rights have been restored, or a conviction of a lesser offense involving moral turpitude or of a nature that is incompatible with the duties of a notary public; Be a citizen or legal permanent resident of the United States. Fees for notary license will be reimbursed upon completion and certificate.
- Must be extremely organized, able to multi-task and prioritize jobs in order to meet deadlines
- Strong experience with Microsoft Word as well as excellent grammar & proofreading skills
- Tech Savvy; able to learn new software; understanding of navigation on websites as online software and websites are utilized daily
- Excellent communication skills-written and oral including phone skills
- Ability to keep client information confidential
- Customer service orientated including a friendly demeanor and team player attitude
- Available year round including school breaks
- Accurate and efficient typing and computer skills
- Ability to organize files and manage paperwork both in hard copy and online files
- Prefer legal experience in Estate Planning
- Experience with CLIO database or Wealth Docs a plus

- Day shift 8:30AM to 5:15PM
- Must live in Quad City area
- Most likely will start successful candidate Monday July 27 & employee must be working on getting notary certified in advance if not already qualified as it is needed for our Estate Planning signings
