Position Overview
The Legal Administrator II is an executive-level role with significant discretion and broad responsibility over the Firm’s operational, financial, and administrative functions. This individual will work closely with the Owner to ensure the smooth running of the Firm by managing employees, supporting business growth, and setting an example of excellent client service. Additionally, the Legal Administrator will facilitate the recruitment and onboarding process and oversee the Human Resources functions of the Company.The Legal Administrator II serves as the Owner's right hand, managing day-to-day Firm operations.
Key Responsibilities
Operations Management:
- Assume full accountability for Firm operations across people, process, systems, and execution;
- Mold strategic priorities into actionable plans and SOPs;
- Implement and enforce office policies and procedures;
- Manage and coach staff in alignment with Firm policies and procedures, ensuring performance expectations are met;
- Manage Firm-wide technology systems, including case management software, billing platforms, and IT support;
- Take the lead on facilities management, work with vendors and other third parties as needed to ensure routine maintenance issues are resolved promptly;
- Conduct regular audits on office equipment and tools;
- Ensure all common areas in the office are kept clean and organized on a daily basis;
- Set up new workspaces set up for new employees as needed;
- Ensure staff are equipped with the tools needed to perform their duties effectively;
- Manage Firm calendar and ensure meetings are scheduled and managed appropriately;
- File and update critical documents with government agencies as needed; and
- Ensure compliance with legal and ethical regulations and maintain client confidentiality.
Financial Management:
- Work closely with the Owner to establish business plans and goals to increase Firm revenue;
- Document, enforce, and evolve Firm SOPs;
- Routinely draft budgets and conduct financial audits as needed;
- Oversee accounts receivable and payable, payroll, client invoicing, retainer refills and trust account and budget management;
- Manage the Firm’s insurance policies, ensuring coverage is reviewed annually;
- Oversee banking, bookkeeping, and financial dashboards of the Firm;
- Monitor revenue drivers and metrics, including intake volume, sales conversion rates, billable utilization, realization, quality metrics, and any other metrics assigned by Owner;
- Evaluate marketing performance, lead sources, ROI, and vendor effectiveness;
- Monitor key performance metrics and provide financial reporting to the leadership team; and
- Work with outside vendors, including accountants and IT providers, to ensure cost-effective and efficient operations.
Human Resources:
- Manage the employee life cycle from recruitment, onboarding, training and regular coaching for all staff through separation of employment;
- Ensure job descriptions, key performance indicators (KPIs) and Firm policies are up to date and compliant;
- Routinely maintain employment records for all staff;
- Process payroll on a semi-monthly basis in isolved;
- Address employee relations issues in accordance with Firm policies, making recommendations to the Owner as necessary;
- Administer employee benefits, performance evaluations, and professional development programs; and
- Lead a positive and collaborative workplace culture.
Marketing and Business Development Support:
- Collaborate with leadership on marketing and client development strategies.
- Ensure smooth execution of networking events, sponsorships, and community involvement initiatives.
- Support the intake process to ensure a seamless experience for potential clients.
Client Relations:
- Maintain excellent client service standards through efficient communication and support;
- Monitor workflow pipeline to ensure employees meet established milestones;
- Collaborate with the Owner on workflow processes to ensure professional and ethical representation along with Firm profitability; and
- Address client concerns or inquiries with professionalism and promptness.
Qualifications
- Bachelor’s degree in business administration, legal studies, or a related field.
- Minimum 5 years of experience in legal administration or law office management.
- Strong understanding of law firm operations, financial management, and compliance requirements.
- Proficiency with legal case management and billing software (e.g., Clio, MyCase).
- Exceptional leadership, organizational, and communication skills.
- Ability to triage tasks and work under pressure in a fast-paced environment.
