Executive Assistant to Partner - Salary + OT + Bonus + Awesome Benefits package including 100% paid healthcare plans and 401k w/ Match

A Prominent, International Law Firm is seeking an Executive Assistant to join their New York team. This candidate is principally responsible for supporting a Partner and 4-5 Attorneys and ensuring that core tasks such as heavy calendar management, travel arrangements, expenses, editing documents, engaging with stakeholders, and ad hoc client projects are managed on behalf of their reports. They are seeking a true team player, someone tech-savvy and a self-starter.

Hours: 9am - 5pm with flexibility when needed

*5 days/week in office

Responsibilities:

Complex calendar management maintaining awareness of priorities and meeting deadlines.
Liaising with clients and their support assistants.
Document production including preparing correspondence and amending and proofreading documents. Assisting with marketing materials and client presentations
Travel coordination for Partners and attorneys
General administrative support including photocopying, printing and scanning
Support the fostering of a collaborative team environment by providing support when covering for colleagues and willingly offering assistance, prioritizing tasks appropriately in order to assist colleagues for the benefit of the team.
Ensure telephones are covered and answered promptly and professionally at all times.
Maintain a good knowledge of key clients and awareness of the firm’s and of their fee earners’ strategic objectives.
Support principals in adhering to the firm’s risk and compliance by tracking and uploading engagement letters/emails and ensuring time recording is completed to meet deadlines.
Assist with the billing process, edit bill narratives, prepare client bills, and liaise with Revenue Controllers on behalf of the fee-earner as required.
Handle expense management on behalf of fee earners, submitting claims on a weekly basis.

Qualifications:

Bachelor's or Associates Degree
3-5 years experience out of law firm, or supporting a General Counsel,
Experience with billing a plus
Experience handling heavy travel coordination domestic and international
Must be technically savvy - Outlook, Excel, PP, Word and MS teams, googlemeet, Zoom, salesforce, condeco

Excellent communication skills, both written and oral with an ability to interact at all levels.
Excellent organizational skills and attention to detail and work on tight deadlines
Ability to demonstrate absolute discretion with sensitive and confidential information.
An enthusiastic and committed approach, whilst remaining flexible and proactive at all times.
An ability to work well in pressured situations while maintaining a professional attitude.
